How to use the public sharing setting in Cacoo

Share boards from private and shared folders using public links.

In this guide, we’ll show you how to:

  • Get a public link
  • Set permissions
  • Set a password and expiration date

Get a public link

Creating a public link lets you share boards with people outside of your organization. To access public sharing:

  • Open the board you want to share.
  • Select the “Share” button in the top-right corner.
  • Enable the “Public sharing” setting.
  • Select “Copy link.”

If you can’t enable public sharing, it means it was disabled by an admin in your organization's settings. 

Enabling public sharing isn’t necessary to share boards with other organization members. Add them as collaborators, or create a shared folder.

Set permissions

When enabling public sharing, you can set permissions to allow people within and outside of your organization to:

  • View the board, which allows anyone with the link to view and comment on the board.

Edit the board, which allows anyone with the link to view, edit, and comment on the board.

Set a password and expiration date

Organizations with Team plans can set a password and expiration date for boards shared via public link. This setting is optional unless your organization admin makes it required.

To set a password and expiration date when it’s optional:

  • Toggle on public sharing.
  • Select “Manage link.”
  • Create a password.
  • Set an expiration date (optional).
  • Select “Save.”

When a password is required by your organization admin, you’ll need to set a password first, which will enable public sharing. To do that:

  • Select “Set password.”
  • Create a password.
  • Select “Set password.”

Good to know
Organization admins can update public link password requirements in the organization security settings.

Once a password is set, it’s required by anyone accessing the board via public link.

If you’ve set an expiration date, you’ll see a badge next to the public sharing toggle letting you know when the link expires.

To manage the password or expiration date:

  • Select “Manage link.”

  • Select “Reset” to delete or create a new password. For security, existing passwords can’t be viewed or edited.
  • Select the “Expiration” text field to choose a new one.
  • Select “Save.”
