Backlog Nulab Flowbase Integration

What is Nulab Flowbase?

Nulab Flowbase is a tool to automate your workflow. It is very useful when you make workflows using Backlog issues. For example, you can do these things:

  • Create Backlog issues automatically every month, week, or day through Nulab Flowbase.
  • Move to the next step in your workflow when a Backlog issue made by Nulab Flowbase is completed.

Available with Premium Plan.To use Backlog and Nulab Flowbase together, please start using Nulab Flowbase first. Then, connect Backlog and Nulab Flowbase when you make a workflow. This page explains how to do each step.

How to start using Nulab Flowbase

Here are the steps to start using Nulab Flowbase.

Only a Member with Admin privilege can do this.

  1. Click "Organization Settings">"Dashboard"
  2. Go to "Introduction of Other Services", find Nulab Flowbase, and click "Get Started".
  3. Read the "Nulab Flowbase Terms of Service" in the pop-up window, and check the box to agree.
  4. Click "Get Started", and Activate.

When you start Nulab Flowbase, everyone in the Organization can use it. The system will send an email to all Members with Admin privilege to tell them that Nulab Flowbase is now active.

How to make a workflow in Nulab Flowbase

Here are the steps to make a workflow in Nulab Flowbase.

  1. Click "Organization Settings" > "Dashboard".
  2. Click "Open"on the right side of "Nulab Flowbase".
  3. Click "Workflows".
  4. Click "Add Workflow".
  5. Type the "Name" and "Description" ,and click  "Generate with AI assistant" or "Add Workflow".

How to connect with Backlog

You can connect with Backlog while making a workflow after you click "Generate with AI assistant" or "Add Workflow". Here is how to do it for each option.

Nulab Flowbase has an AI feature to help you make workflows. You can talk with the AI to make a workflow. Then, you can choose how to connect it from these 3 modes:

  • Add the whole workflow as a Backlog issue: This creates one Backlog issue when the workflow starts.
  • Add both workflow and tasks as Backlog issues: This creates a parent issue for the workflow, and child issues for each task.
  • Add only tasks as Backlog issues: This creates a Backlog issue for each task.

Good to know

There is a monthly limit for the credits you can use with "Nulab Flowbase AI Assistant".

Connecting with Backlog by clicking "Add Workflow" (creating from scratch or editing)

Here are the steps to connect Backlog and Nulab Flowbase.

  1. After you add a workflow, put your mouse over the "+" icon in the workflow and click "Add Step".
  2. Click "Add Backlog issue integration".
  3. Type the task subject and enter to continue.
  4. Click the added flow to set issue details, assignee, project, etc. After that, click the "X" on the top right to close and save automatically.
  5. Click the human icon mark to add a "Roles".
  6. When the workflow is ready, click "Publish".
  7. Click "Start workflow" to match the users in the "Roles" with the assignees in Backlog. (If you want to add the same issue repeatedly, like daily or weekly, please see How to add issues on a regular schedule).
  8. Click "Start workflow".
  9. You can see the history in "Workflow history". Issues are made in Backlog, and assignees get a notification.

How to add issues on a regular schedule

You can add issues automatically on a set schedule. You can choose from these repeating periods (You cannot choose specific days like "the end of every month" or "the first business day"):

  • One time
  • Daily
  • Weekly
  • Monthly
  • Yearly

How to set it up

In "Set Schedule", choose the date and time to run the workflow. Then, match the "Role" with the Backlog users. The workflow will run at the scheduled time.

How to stop using Nulab Flowbase

Here are the steps to stop using Nulab Flowbase.

Only a Member with Plan Admin privilege can do this.

  1. Click the Organization icon on the global bar.
  2. Click "Organization Settings".
  3. Click the "PLANS" tab.
  4. Find Nulab Flowbase under "Current" and click "Stop Plan" on the right side.
  5. Check the message in the pop-up window and click "Cancel Plan".

About the number of users and workflows
