Overview of roles and access levels

In your organization, each user is assigned to a role that defines what features and areas they can access. This guide will provide an overview of each role and their associated permissions. 


Admin: A user with full admin privileges within the organization. Admins can manage users, assign roles (including plan admin), create and delete teams, update organization settings, and control access permissions. They also have access to billing and subscription management if granted plan admin rights. 

Admins are responsible for: 

  • Inviting and managing members and guests
  • Assigning or changing user roles
  • Creating, editing, and deleting teams
  • Accessing and updating organization-level settings
  • Managing accounts, including managed accounts
  • Assigning plan admin privileges

Handling billing (if also a plan admin) 
 

Note
Admins have the highest level of permissions across all organizational settings and features. 

Plan admin: A user authorized to handle billing, subscription plans, and payment information for the organization. This role can be given to either an admin or member but does not include wider Admin rights like user management or access control unless those permissions are specifically granted. 

Plan admins are responsible for: 

  • Managing the organization’s subscription plan
  • Updating payment methods
  • Viewing and downloading invoices
  • Handling payment issues 

Member: A user who can actively participate in projects with teams within the organization. Members have access to most collaboration features, including creating and editing tasks, joining teams, and contributing to shared workspaces. While they don’t have full admin capabilities, they can be granted specific permissions - such as becoming a plan admin or a team admin, depending on the organization’s needs. 

Members can: 

  • Collaborate with others on tasks and projects
  • Join and manage teams (with team admin privileges)
  • Be assigned plan admin rights for billing access
  • Manage some aspects of their own account
  • Invite other users (if allowed by admin)

 

Note
Members can invite others only if invitation permissions are enabled by an admin. Invite via link is limited to admins.  

Guest: A user with limited access, typically invited to collaborate on specific teams or projects without full visibility into the rest of the organization. Guests are ideal for external collaborators, contractors, or clients who need to contribute to certain tasks or view content without accessing broader settings or member lists. 

Guests can: 

  • View and collaborate on items shared with their team
  • Be added to teams by admins or team admins
  • Participate in comments or assigned work, if permitted
  • View only their team members, and not the full organization

Guests cannot:

  • Invite other users
  • Manage teams or roles
  • Access organization-wide settings
  • Be assigned plan admin or admin Privileges
Note
Guests are still paid users, even though their access is limited.
